At EventEngine, we take your privacy seriously. This Privacy Policy outlines how we collect, use, and protect your data when you use our platform. EventEngine is a software application developed by Burrows Digital Consultants Ltd based in the United Kingdom.
We are committed to ensuring transparency and compliance with applicable data protection regulations, including the UK GDPR and EU GDPR.
EventEngine is a tool that works alongside HubSpot to streamline and automate event marketing workflows. It helps marketing teams reduce manual setup by automating landing pages, forms, emails, QR code check-in, and attendee segmentation.
EventEngine does not store or retain any personal data related to your event registrants, attendees, or contacts. All contact and event data remains within your HubSpot portal. We access this data only as needed to perform operations initiated by you, such as populating an event page or sending an automated email through HubSpot.
We never export, replicate, or transfer HubSpot contact data outside your portal.
We store limited administrative data for users of the EventEngine platform:
Email addresses of system users and workspace administrators
Used for login access, role-based permissions, support communications, and platform notifications.
Account metadata
Such as organisation name, subscription status, and usage activity (e.g. number of events created).
We collect this information to ensure account security, provide product support, and enable core functionality.
EventEngine only processes personal data under the following lawful bases:
Contractual necessity, to deliver services you subscribe to.
Legitimate interest, to maintain platform security and service quality.
Consent, where required for specific features or communications.
We retain only the admin user data necessary to operate your EventEngine account. This data is kept for the duration of your subscription and deleted within 30 days of cancellation or upon written request, unless legally required to retain it longer.
No registrant or contact data is ever stored by EventEngine beyond temporary processing within HubSpot.
We follow industry best practices to keep your data secure, including:
Secure API communication between EventEngine and HubSpot
Role-based access controls
Encryption of data in transit
Regular internal access audits
No access to your contacts or CRM content unless explicitly authorised for support purposes
EventEngine’s application (https://app.eventenginepro.com/) does not use cookies or tracking tools.
However, our marketing website (https://www.eventenginepro.com/) may use standard analytics tools (e.g. Google Analytics) to understand traffic and improve user experience. You can manage these settings via your browser or any cookie banner we provide.
As a user, you have the right to:
Request access to your data
Correct or update your stored user information
Request deletion of your data
Withdraw consent at any time
Lodge a complaint with a supervisory authority

EventEngine does not sell or share your personal data with any third parties. The only platform we integrate with is HubSpot, and all processing occurs within the scope of that integration.
All data is processed and stored in accordance with applicable UK and EU data protection laws. We do not transfer personal data outside of the UK or EEA.
You can cancel your subscription at any time via your billing dashboard. Upon cancellation:
Your access to EventEngine will remain active until the end of your billing cycle
EventEngine will no longer modify or send data through your HubSpot portal
All user and admin data will be deleted from our systems within 30 days, unless otherwise requested
We may occasionally update this Privacy Policy to reflect product improvements or legal requirements.
